I can always turn to the head of training if I have any questions and all the important issues concerning the vocational school or the VAK are clarified at the monthly trainee meetings. About the profession
Due to the diversity of practical positions, this training includes a wide range of tasks in the processing, organisation and implementation of administrative processes in the higher education sector. The work requires the application of legal regulations, the processing of applications, the preparation of certificates and participation in personnel and financial administration. In addition, computer-aided data processing, file management and the provision of information to internal and external bodies are required.
It is also possible to apply as an "administrative assistant with a language qualification (English)". There will be more language lessons and an internship abroad in an English-speaking country in the 4th semester. Please note that this shortens the theoretical training programme to 2.5 years. The internship is only possible if you are of legal age at the start of the placement abroad.
Prerequisites
At least a lower secondary school leaving certificate or equivalent level of education is required for employment. If you are interested in office work and have a good sense of justice, are helpful and enjoy communicating - perhaps in English or other languages - and consider yourself reliable and stress-resistant, this is a good job for you. Acceptable academic performance in German, a foreign language and maths is also important. An interest in economic topics and a good general education are desirable.
Training content
Practical training
Practical training is aimed at imparting the skills and knowledge required to carry out day-to-day administrative work. You will be familiarised with the legal and administrative regulations to be observed as well as their application and correspondence. The meaning, purpose and context of the individual work processes are explained. The activities of administrative assistants are broadly diversified in practice:
- Citizen- and customer-orientated work according to the principles of economic efficiency
- Procurement and management of materials and durable goods according to economic and ecological criteria
- Planning and organising work processes
- Processing procedures with the help of modern information and communication systems
- Collecting, processing and analysing data, determining facts and applying legal regulations
- Processing personnel matters and calculating remuneration
- Contributing to the preparation and implementation of budgets and business plans and processing payment transactions
- Performing tasks in operational accounting and much more.
Particular emphasis is placed on imparting knowledge of the responsibilities of the individual administrations, so that a comprehensive insight into the tasks of Humboldt-Universit?t, the Berlin administration and co-operation with other legal entities under public law is acquired.
In the course of the 2nd year of training, an internship is completed in a district office (primarily social welfare office, public order or citizens' office) or state administrative office. A specialised internship is also possible, e.g. in a local government institution.
Theory
Theoretical training is provided by the Berlin Academy of Administration in cooperation with the relevant vocational school.
An intermediate examination must be taken in the middle of the second year of training and the final examination must be taken before the examination board of the Senate Department for the Interior and Sport in good time before the end of the third year of training.
Successful completion of the training programme qualifies the trainees for full-time employment in accordance with the TV-L.
